A Digital Journey

In a digital world, things get done faster, more accurately and cost less when paper is eliminated from routine tasks. Most companies are on a digital journey to streamline and become more efficient. While scanning technology has been with us for some time now, a couple of things were missing: simplicity, accurate capture and automated workflows.

Navigating through multiple menus to figure out how to scan only to have the document sent to an email address, saved locally and then sent on to someone else is a frustrating, inefficient experience.

With simplicity in mind, Y Soft added document capture and workflow functionality to YSoft SAFEQ. The result is the YSoft SAFEQ Workflow Suite. With YSoft SAFEQ, users select 'scan' and are presented with the pre-defined workflows they are authorized to perform. Select the desired workflow, press a button and they are done. It can be that simple.

The YSoft SAFEQ Workflow Suite's processing options for accurate capture are robust. Whether it is optical character recognition (OCR) or barcode recognition, image cleaning, page appending or applying password protection to PDFs, the processing ensures that document data is captured accurately and securely.  

IT administrators can create automated workflows for users or groups of users. After configuring the destination (for example SharePoint or Dropbox for business), a workflow can be created by defining the metadata you wish the user to enter (if any, such as an invoice number) and the processing options. Then assign a destination to that workflow and provide the user access to the workflow.

And, because YSoft SAFEQ is a platform, document capture and workflow functionality modules are tightly integrated with YSoft SAFEQ’s existing print management modules. Adding document capture and workflow to print management is easy since the modules use the same underlying resources (which you don’t pay twice for).
