The holiday season is often a time when we are reflective and think about the wider world. Here we look at how your print solution can help you take steps to bring peace on earth.

Thinking green

The state of the environment has jumped up the agenda in recent years, with the effect of climate change and waste disposal framing numerous conversations. According to The World Counts, we use more than two pieces of paper for everyone on Earth every single hour, and demand for paper is expected to double by 2030. On top of this there is the impact of CO2, energy consumption, consumables and so much more which go hand in hand with your print environment.

In order to reduce your carbon footprint and become more sustainable, you need to know how much paper, energy, you currently use. Not understanding or even having visibility of how your organization uses your print environment means that key efficiencies are not realized.
YSoft SAFEQ Reporting provides an organization with a complete audit of their entire print environment. By creating reports of your print, copy and scan usage you can view a detailed breakdown by groups, locations, printers or employees. Such data can then be used as a motivator for employees to print smarter and review their printing habits, encouraging more efficient and responsible printing.
One key element is the Green Report. This supplies sustainability initiative data and highlights the usage of key resources, such as water, timber and CO2 emissions. Used to identify areas where waste and associated environmental costs can be minimized, this report can be the catalyst for real impactful change.

‘Tis the season to make a change

Based on the Green Report findings there are many ways you can make changes to become more sustainable. Once you know how and where your usage of key resources is, it’s time to do something about it.
Print only what is needed. Eliminate forgotten and unnecessary print jobs by using authentication and Print Roaming. Users can also remove incorrect or no longer needed jobs from their print queue instead of them automatically printing and then being disposed. Less printing means not only less paper, but less energy consumption and less ink toner.
Print efficiently. Make the switch from single side and color printing as these use an inefficient amount of paper, toner and energy. By using rule-based printing you can enforce printing in grayscale and duplex to use less ink, toner, energy and paper.
Digital storage. Digitize workspaces and save on paper using YSoft SAFEQ workflows. Automated scan delivery sends links of the document to the correct people, reducing the number of copies being printed. Digital documents are searchable and editable using Optical Character Recognition (OCR), removing the need for a physical hard copy of a document.
Charge back. Using credit and billing you can charge the cost of printing back to users. In turn this helps mindful printing.
Think before you print. Informing users of the cost and impact of their print job raises awareness and encourages wiser printing. Print cost estimation alerts challenge users to think before they print and suggest environmentally friendly printing. Users tend to print more responsibly when they know the company is looking after costs and can see the printing being done.
There are of course many additional areas in which you can make a positive impact and reduce your footprint, such as recycling, paper choice, waste disposal, energy supplier, machine efficiency, consumables and so much more.

Once changes have been identified and implemented, the YSoft SAFEQ Green Report provides sustainability information to highlight the real impact you are making as a company.

The Green Report will show the positive impact made to the environment resulting from the improved efficiency of your print system, and show how many trees you have saved with YSoft SAFEQ. These findings can also motivate your team to continue their endeavors in being green. After all, seeing is believing.
